Corporate Receptionist/Administrative Assistant
We are an independent Investment Consultancy based in the City, providing innovative, clear, cutting-edge advice to the Pensions & Insurance industries. We are looking for a Corporate Receptionist/Administrative Assistant with excellent organisational and interpersonal skills to work in our vibrant, fast- paced environment.
The Role
The role is varied and will involve duties largely in the following categories:
• Reception and housekeeping (70% of role)
o Responsibility for all reception duties including directing and filtering calls, dealing with visitors, post, couriers etc
o Meeting and greeting clients and providing refreshments
o Booking and coordinating meeting rooms
o Managing office supplies (including ordering new and maintaining existing)
o Organising team lunches including arranging food and refreshments
o Ensuring meeting rooms and kitchens are clean and tidy and basic supplies topped up
o Running errands and other ad hoc jobs
o Liaising with external service providers such as building maintenance staff and contractors.
• General Administration (30% of role)
o Responsibility for updating various databases
o Managing meetings for the teams and Senior Consultants, where necessary
o Assisting Directors’ PA when required
o Assisting Operations department with general administration to include filing, scanning and uploading documents, processing purchase invoices, preparing revenue summaries, helping maintain compliance register, etc.
o Undertaking fire checks
o Any other general administrative duties required by the team
Key Skills
• The ideal candidate will be a flexible and adaptable individual who works well in a team.
• IT skills (Word, Excel, Power Point and Database)
• Excellent verbal and written communication
• Good attention to detail and proactive approach
• Helpful and friendly telephone manner
• Strong organisational and time management skills
• Previous experience of working as a receptionist and providing office administrative support
• A background working in a Financial organisation would be an advantage
